Social Media Management Proposal Template

Social media is the service most likely to expand quietly past what was priced. This template counts the posts and the stories, bounds community management to working hours, and settles the two questions that cause trouble later: who owns the accounts, and who supplies the photography.

Take the whole thing

The scope, deliverables, timeline and client questions — as plain text you can paste anywhere. No signup.

The scope, as written

I'll take your social media presence completely off your plate — strategy, content creation, scheduling and community management — so your brand shows up consistently and grows an audience that actually buys. Consistency is the whole product here, so the approval process below is built to protect the calendar rather than break it.

How to price this work

We looked for survey-grade pricing for this kind of work across our markets — India, the UAE, the UK and Brazil — and did not find any we would stand behind. What is published is mostly agency price lists, which quote the agency, not the market. Rather than average those into a number that looks authoritative and is not, we have left this blank.

What we can tell you is how to arrive at your own number:

  • Start from hours, not a feeling. Estimate the work in the deliverables below, add the revision rounds you actually grant, and multiply by the day rate you need to hit your yearly target.
  • Add the invisible work. Calls, briefs, feedback rounds and project management are usually a third of the real time and the first thing left out of a quote.
  • Price the outcome where you can. What the work earns or saves the client is a better anchor than your hours — the hours are your floor, not your price.
  • Quote one number, then hold it. The scope below is what protects that number; discounting a vague scope is how a profitable project becomes a loss.

What's included

  • Social media audit + 3-month content strategy and posting cadence
  • 12 feed posts per month (copy + creative direction), delivered as a monthly calendar in advance
  • 4 Stories per week (Instagram / Facebook)
  • Community management — comments, replies and DMs, Mon–Fri within one business day
  • A standing bank of approved evergreen posts, so the calendar never goes dark
  • Monthly performance report + strategy adjustment call
  • Excluded: ad spend and boosted posts, paid scheduling or design tools, stock imagery, photo/video shoots, influencer fees, PR and crisis communications — quoted separately or billed at cost with your approval

Worth adding for this kind of work

  • +Community management bounded to weekdays and working hours, in writing
  • +Account and content ownership stated — the client keeps their accounts when the engagement ends
  • +Whether the fee includes photo or video shooting, or only scheduling what they supply

The timeline

  1. 1Sign & pay first monthDay 1

Payment secures your start date and my monthly capacity; monthly fees are payable in advance and non-refundable once the month has started. Onboarding steps sent via WhatsApp.

  2. 2Audit + access and brand handoverWeek 1

I audit your accounts and you provide account access, brand assets and your do-not-say list. Delayed access delays the go-live date. Coordinated on WhatsApp.

  3. 3Strategy + Month 1 calendar deliveredWeek 2

Full month of content sent in one batch for review. You have 3 working days to return one consolidated set of written feedback — one round is included per calendar.

  4. 4Approval window closesWeek 2, day 3

Approved content is scheduled. If feedback has not arrived by the deadline, approved evergreen content runs in those slots so your feed stays alive, and the unapproved posts move to the next cycle.

  5. 5Month 1 goes liveWeek 3

Posting to the agreed cadence, Stories running, community management active Mon–Fri. Anything urgent reaches me on WhatsApp.

  6. 6Monthly review + rolling renewalMonthly

Call to review performance and adjust the mix. This continues month to month after the initial 3 months; either of us can end it with 30 days' written notice.

Where this proposal usually goes wrong

  • Agreeing to "manage the accounts" without counting anything.

Twelve posts, four stories a week. A count is the only defence against gradual scope creep.

  • Being on call for comments at the weekend.

Monday to Friday, stated. Social never sleeps; you have to.

  • Leaving content creation undefined.

Say whether you shoot or only schedule. It is the single biggest swing in the hours this takes.

Questions clients ask about this work

  • Do I approve everything before it goes live, and what if I am slow?

Yes — you approve every calendar, and nothing new publishes without your sign-off. But approval has a clock: you get the month's content in one batch with a 3-working-day window. If it passes, I run previously approved evergreen posts in those slots rather than going silent, and the pending posts roll into the next cycle. This exists because the fastest way to waste this retainer is a feed that stops for two weeks while a calendar sits unread. You can always tell me to hold everything instead — just say so.

  • What do you do if there is a complaint or a pile-on?

I handle everyday community management — questions, negative reviews, routine complaints — using an agreed response guide, and I escalate anything beyond it to you the same day on WhatsApp. What I do not do is handle a PR crisis, a legal or regulatory complaint, a data breach, or a story involving your staff or safety. Those need you, and often your lawyer. I will keep the channel steady, pause scheduled content so nothing lands badly, and support your response — but I will not speak for your company on a matter that carries legal weight.

  • Can you guarantee follower growth?

No. I control consistency, quality, positioning and response speed; I do not control the algorithm, your offer, your pricing or how competitive your niche is. Anyone promising a follower number is either buying them or guessing. I set realistic targets in the strategy, report against them honestly every month, and tell you if the data says social is not your best channel — even though that conversation costs me a client.

  • How do I cancel, and what happens to my accounts?

30 days' written notice, any month, after the initial 3-month term. The accounts are yours throughout — I work inside your profiles, never my own — and on the last day I hand back access, the content calendar, all created assets and the reports. Nothing is held back, and I do not need you locked in to be worth keeping.

  • What if an invoice goes unpaid?

Scheduling and community management pause until the account is settled, and the calendar is not published. I message you on WhatsApp well before that point. Unpaid months are not made up later.

  • Who owns the content, and can you post about working with us?

All content created for you is yours as each month is paid, including editable source files. I retain the right to show the work in my portfolio and case studies. If you would prefer the relationship stayed private, tell me and it will — and anything you share about the business, its numbers or its people stays confidential regardless.

A template gets it written. Tracking gets it signed.

You already have the document — copy it above and send it however you like. What a copy cannot tell you is whether anyone read it. Send this same template from ClosingMoment and you will know the moment your client opens it, which sections they read, and how long they spent — so you follow up while they are still deciding.
