Leaving PandaDoc as a solo seller

PandaDoc is a document platform: contracts, HR paperwork, approval routing, payment workflows, CRM integration. It is built for organisations that move documents between people. If you are one person sending proposals to clients, most of that machinery is weight you carry and never use.

So this is less a like-for-like swap than a change of category, and the page says so plainly. What carries over, what you rebuild, and the fairly long list of cases where leaving PandaDoc would be a mistake. If you are still comparing, the side-by-side covers that instead.

Why the fit breaks for one person

None of these are complaints about the software. They are consequences of who it is built for.

  • Per-seat pricing on a one-seat business

Seat-based pricing is designed to grow with headcount. When headcount is one and stays one, you are on the pricing model’s worst rung and nothing about next year improves it.

  • Approval workflows with nobody to approve

Routing, roles and internal review exist so a document can cross a company. Solo, every one of those steps is a click you add to your own path.

  • Tracking that reports, rather than interrupts

Document analytics answer “what happened to this document”. A solo closer needs the opposite shape: tell me right now, while I can still act on it.

We deliberately quote no PandaDoc price on this page. Every competitor figure we publish is read off the vendor’s own pricing page and dated; we could not read theirs first-party, so we state nothing rather than repeat an aggregator. Check their pricing page directly.

What you keep, and what you give up

Moving from a document platform to a closing tool gives up more than the usual switch. The second column is long on purpose.

You keep

  • A branded, client-facing proposal on its own link
  • View tracking — with section-level detail added
  • Line items, deliverables and instalment schedules
  • Client acceptance, recorded with name, email, IP and timestamp
  • Reusable templates, minus the approval routing

You give up

  • Legally binding e-signature — we record click-to-accept instead
  • Contract and HR document management entirely
  • Approval workflows, roles and internal routing
  • Salesforce, HubSpot and the wider integration catalogue
  • Payment collection inside the document
  • Audit trails built for compliance review

What the migration actually costs you

There is no importer, and this move is a bigger one than swapping two proposal tools.

  1. 1. Only your proposals come here — the rest needs a home

If PandaDoc is also holding your contracts, NDAs or signed paperwork, ClosingMoment does not replace that. Decide where those live before you cancel anything.

  2. 2. Rebuild the one template you actually reuse

Paste your standard sections into a proposal and save it as a template, or let the AI builder draft the first one from a description of the project.

  3. 3. Export your signed documents first

Executed contracts are the part you cannot re-create. Pull them down and store them somewhere you control before the account closes.

Do not switch if

This list is longer than on our other pages, because PandaDoc genuinely does things we have chosen not to do. If any of these is you, stay.

  • You need legally binding e-signature or an audit trail

We record a click-to-accept legal record, not a signature, and nothing here is built for compliance review.

  • Documents cross more than one person

Approval steps, internal reviewers, multi-party sign-off — there is no team plan here and no route for a document to wait on someone else.

  • You sell to enterprise, or in a regulated field

Enterprise sales teams, e-commerce, and regulated financial or insurance advisors all want e-signature, audit trails and multi-party approval — the three things we deliberately do not build.

  • PandaDoc is wired into your CRM

We have no integrations at all. If your pipeline updates itself today, switching means doing that by hand.

What a closing tool does instead

We do one moment, and we do not pretend to do the rest of the document lifecycle.

  • A push notification while they are still reading

Not a document-analytics report you check later. An alert that says they have been on your pricing section for three minutes, while they are still on the page.

  • One-tap WhatsApp close from that notification

ClosingMoment drafts the follow-up from the sections they actually read and opens WhatsApp with it pre-filled — where your client already is.

  • Flat pricing, because there is one of you

5 proposals free forever with every closing tool switched on, then $19/mo for unlimited — not per seat, and no demo call to find out the number.
