3-Month Executive Coaching Program Proposal Template
Coaching engagements are sold on trust and lost on ambiguity about access. This template fixes the cadence, the session length and — the part most coaches leave out — exactly when you are reachable between sessions, so an intensive engagement does not quietly become an always-on one.
Take the whole thing
The scope, deliverables, timeline and client questions — as plain text you can paste anywhere. No signup.
The scope, as written
A structured, private coaching engagement designed to help you lead with clarity, decide well under pressure, and get out of your own way. Sessions are 1:1, strictly confidential, and built around your goals — not a curriculum. The scheduling and commitment terms below exist because coaching only works when both of us protect the time.
How to price this work
We looked for survey-grade pricing for this kind of work across our markets — India, the UAE, the UK and Brazil — and did not find any we would stand behind. What is published is mostly agency price lists, which quote the agency, not the market. Rather than average those into a number that looks authoritative and is not, we have left this blank.
What we can tell you is how to arrive at your own number:
- Start from hours, not a feeling. Estimate the work in the deliverables below, add the revision rounds you actually grant, and multiply by the day rate you need to hit your yearly target.
- Add the invisible work. Calls, briefs, feedback rounds and project management are usually a third of the real time and the first thing left out of a quote.
- Price the outcome where you can. What the work earns or saves the client is a better anchor than your hours — the hours are your floor, not your price.
- Quote one number, then hold it. The scope below is what protects that number; discounting a vague scope is how a profitable project becomes a loss.
What's included
- Initial deep-dive session: values, goals and blockers (90 min)
- 10 weekly coaching sessions, 60 minutes each, by video or WhatsApp call
- Between-session voice and text support on WhatsApp during business hours, with a reply within one working day
- Personalised development plan, plus written session notes and actions after every call
- End-of-program review + 6-month goal blueprint
- Not included: psychotherapy or clinical mental-health treatment, legal or financial advice, psychometric assessments and 360 feedback tools (available at additional cost), and any coaching of your team members
Worth adding for this kind of work
- Between-session support bounded by hours and channel, not left open-ended
- Confidentiality stated explicitly, including what is shared if a company is paying
- A cancellation and rescheduling rule, so a missed session is not an unpaid one
The timeline
- Sign & pay first instalment
The first instalment secures your weekly slot and start date, and is non-refundable — that slot is held for you for the full program and can't be resold week by week. Payment details sent on WhatsApp.
- Deep-dive intake session
90 minutes by video or WhatsApp call to map goals, context and priorities, and to agree what "this worked" will mean in week 12.
- Weekly coaching begins
A fixed 60-minute slot each week, confirmed on WhatsApp. Rescheduling with more than 24 hours' notice is free and unlimited; under 24 hours, or a no-show, forfeits the session.
- Mid-program check-in
We review progress honestly and reset the focus areas if the original goals have stopped being the real ones. This happens more often than you'd expect.
- End-of-program review
Final session: what changed, what didn't, what you're taking forward, and a 6-month blueprint you own.
- Program expiry
All 10 sessions are to be used within 6 months of the start date. Unused sessions expire — I'll message you on WhatsApp if you're drifting, well before you lose any.
Where this proposal usually goes wrong
Offering unbounded WhatsApp access.
Business hours, named in the proposal. Availability without limits is the fastest route to resenting the client.
Not addressing who sees what when the employer pays.
One line on confidentiality. The coachee will wonder, and they will not ask.
No cancellation policy.
24 or 48 hours, stated. Otherwise a rescheduled session costs you the slot and the fee.
Questions clients ask about this work
What if I have to reschedule, or the weeks get away from me?
More than 24 hours' notice on WhatsApp and we move the session, no charge, as often as you need. Less than 24 hours, or not turning up, forfeits that session — the hour was held exclusively for you and can't be filled that late. Separately, all 10 sessions must be used within 6 months of your start date. That window exists because coaching compounds through consistency; a program stretched across a year is a series of unrelated conversations, and I'd be taking your money for something that no longer works.
Is it really confidential — including from whoever is paying?
Completely. Nothing said in a session reaches your employer, board, HR or anyone else, and that holds even when your company is the one paying my invoice. If a sponsor asks for a progress report, the most they receive is confirmation that sessions took place, agreed with you in advance. The single exception is a genuine risk of serious harm to you or someone else. I state this to sponsors before I start, because a coaching relationship where you're editing yourself is worth nothing to either of us.
Can I get a refund if it isn't working?
The first instalment is non-refundable. Beyond that: if after the intake session and the first two coaching sessions you decide this isn't right, tell me and I'll cancel the remaining instalments and we stop — you pay only for the sessions held. I won't hold you to the balance of a program you don't want. What I won't do is refund sessions already delivered, and I won't promise a results-based refund, because outcomes depend on work you do between our calls that I can't do for you. If we're four sessions in and nothing is shifting, my first suspicion is that I'm the wrong coach for you, and I'll say so and suggest someone else.
What actually changes, and how would we know?
We agree the measures in the intake session — usually a mix of something observable (a decision made that had been stalled for months, a difficult conversation finally had, hours reclaimed from work you shouldn't be doing) and something felt. We review them at week 6 and week 12 against what you said in week 1, so the assessment isn't retrospective flattery. I won't claim coaching causes a revenue number; too many things move at once for that to be honest, and anyone selling you a guaranteed figure is selling something else.
Coaching, therapy, mentoring or consulting — which is this?
Coaching. I work with you on the present and the future: decisions, patterns, leadership, performance. I am not a therapist, and if something surfaces that belongs in therapy — and it sometimes does — I'll name it and help you find the right professional rather than working outside my competence. Mentoring means someone handing you their answers from their industry; consulting means someone doing the analysis for you. If what you need is one of those, say so early and I'll point you at it. A wrong-fit engagement wastes your three months and my reputation.
What if an instalment goes unpaid, or you become unavailable?
If an instalment passes its due date, sessions pause until it clears and the 6-month expiry window keeps running — I'll message you on WhatsApp first, and if there's a genuine cash-flow issue, tell me and we'll restructure the dates rather than lose the momentum. On my side: if I have to cancel, that session is rescheduled at your convenience and never counts against your 10. If I become unavailable for longer, I refund every unused session outright and, if you want, introduce you to a coach I'd send my own clients to. You should never be out of pocket for my absence.
A template gets it written. Tracking gets it signed.
You already have the document — copy it above and send it however you like. What a copy cannot tell you is whether anyone read it. Send this same template from ClosingMoment and you will know the moment your client opens it, which sections they read, and how long they spent — so you follow up while they are still deciding.
