Content Marketing & SEO Retainer Proposal Template
Retainers die in month three, when the client has paid twice and cannot see a ranking yet. This template puts monthly deliverable counts in writing and — the part that keeps the retainer alive — sets an honest expectation about how long organic results actually take, before the invoice arrives.
Take the whole thing
The scope, deliverables, timeline and client questions — as plain text you can paste anywhere. No signup.
The scope, as written
Consistent, compounding marketing that grows your visibility without depending on ad spend. I'll own your content strategy, SEO and email — so you build an audience that finds you and buys from you month after month. This is a build, not a switch: the first month sets foundations and the results arrive as the work accumulates.
How to price this work
We looked for survey-grade pricing for this kind of work across our markets — India, the UAE, the UK and Brazil — and did not find any we would stand behind. What is published is mostly agency price lists, which quote the agency, not the market. Rather than average those into a number that looks authoritative and is not, we have left this blank.
What we can tell you is how to arrive at your own number:
- Start from hours, not a feeling. Estimate the work in the deliverables below, add the revision rounds you actually grant, and multiply by the day rate you need to hit your yearly target.
- Add the invisible work. Calls, briefs, feedback rounds and project management are usually a third of the real time and the first thing left out of a quote.
- Price the outcome where you can. What the work earns or saves the client is a better anchor than your hours — the hours are your floor, not your price.
- Quote one number, then hold it. The scope below is what protects that number; discounting a vague scope is how a profitable project becomes a loss.
What's included
- Marketing audit + 90-day content and SEO strategy, approved before execution
- 8 SEO-optimised blog or social posts per month (research, copy, on-page optimisation)
- 2 email campaigns per month (copy, build and send from your platform)
- Ongoing technical SEO housekeeping — metadata, internal links, indexing issues
- Monthly keyword tracking + organic traffic and conversion report
- Monthly strategy review call, with priorities agreed for the month ahead
- Excluded: ad spend, paid tools and subscriptions, stock imagery, design retainer work, website development — quoted separately or billed at cost with your approval
Worth adding for this kind of work
- Monthly output stated as counts, so "is this month lighter?" has a factual answer
- A stated results horizon, because SEO that is judged on month one is judged as a failure
- Minimum term and notice period, so the retainer is not cancellable mid-strategy
The timeline
- Sign & pay first month
Payment secures your start date and the month's capacity; monthly fees are payable in advance and are non-refundable once the month has begun. Details sent via WhatsApp.
- Audit + access handover
I audit your channels and you give me access to the site, analytics, search console and email platform. Access delays push the start date — I cannot audit what I cannot see. Coordinated on WhatsApp.
- Strategy document delivered
90-day plan shared for your approval. One consolidated round of written feedback, then we lock it and execute.
- Month 1 execution begins
Content publishing starts. Drafts go to you with a 3-working-day review window; unreturned drafts are published as written so the schedule holds.
- Monthly review
Call to review results against the agreed KPIs and set next month's priorities. Booked via WhatsApp.
- Rolling renewal or notice
After the initial 3 months this continues month to month. Either of us can end it with 30 days' written notice; I finish and hand over everything paid for in that period.
Where this proposal usually goes wrong
Promising rankings by a date.
Commit to the work and the reporting, never to a position. Nobody controls the algorithm.
No minimum term.
Three months, minimum. Content compounds; a one-month retainer cannot show anything.
Vague monthly volume.
Eight posts, two emails — count them. Ambiguity is always resolved in the client’s favour.
Questions clients ask about this work
When will I actually see results, and can you guarantee rankings?
No, and be careful with anyone who does. Organic search compounds: expect movement in impressions and long-tail rankings around months 2–3, meaningful traffic around months 4–6, and revenue impact after that — faster if your site already has authority, slower in a competitive market. Nobody controls Google's algorithm, so anyone quoting you a position by a date is guessing with your money. What I do commit to is the output, the reporting, and telling you early if the data says the strategy is wrong.
Why are you more expensive than a cheaper content service?
Cheap content is usually volume without strategy — generic articles targeting keywords nobody buys from, which quietly makes your site worse. You are paying me to decide what not to write as much as what to write, to optimise for search intent that converts, and to be accountable to your numbers in a monthly call. If pure volume is what you need, a cheaper provider is genuinely the better buy and I will say so.
How do I cancel, and what do I own when I leave?
30 days' written notice, any month, after the initial 3-month term — no exit fee and no hostage-taking. Everything published and paid for is yours: content, accounts, keyword research, the strategy document. I hand back all access on the last day. Retainers that are hard to leave are how agencies keep clients who have stopped getting value, and I would rather you stayed because it is working.
What if I am not happy with the content?
Tell me in the monthly review, or sooner. Each piece includes one round of revisions — a round being one set of consolidated written feedback, not a trickle of WhatsApp notes across the week. If a piece misses the brief I rewrite it at no cost. If the tone is repeatedly wrong we book a voice session and fix the root cause rather than editing every draft forever.
What happens if an invoice is unpaid?
Publishing and reporting pause until the account is settled, and scheduled sends are held. The month's work is not carried forward for free. I always message on WhatsApp before anything pauses — this is a process, not a punishment.
Who owns the content, and will you write for my competitors?
Full ownership of all published content transfers to you as each month is paid. I retain the right to reference the work in my portfolio and case studies, anonymised if you prefer. I do not take on a direct competitor in your primary market and category while we work together; tell me who those are at kickoff so there is no ambiguity later. Anything commercially sensitive you share stays confidential.
A template gets it written. Tracking gets it signed.
You already have the document — copy it above and send it however you like. What a copy cannot tell you is whether anyone read it. Send this same template from ClosingMoment and you will know the moment your client opens it, which sections they read, and how long they spent — so you follow up while they are still deciding.
